BCE Minutes

 

 

May 5, 2009

Reports

Secretary’s Minutes -- The minutes from the meeting held on April 7, 2009, were reviewed and approved as written. 

 

Council Representative – Art attended the Council meeting held on April 16, 2009.  Art reported that he nominated Lynn Haripal as the nursery caregiver.  He also provided a summary of BCE activities including the Easter Egg Hunt, Graduation Sunday, and Vacation Bible School.

 

Budget Manager – Karen provided a report that indicating that, through March 2009, the BCE has earned $4,499.85 and spent $1,234.36 for a balance of $2,675.00.  

 

Youth Group – Jenny reported that having the youth participate in the Good Friday Service was well received.  She continues to encourage youth participation the services. 

 

Jenny indicated that the Junior youth had a great trip to Merom.  The youth worked hard and wrote reflections of their experience.  Adam Miner has been a great help with the youth groups and Jenny requested that his efforts be acknowledged. 

 

Recycling Sunday will be held on May 10, 2009. 

 

Early registration for summer camp is due by May 15, 2009.

 

A youth group from Hillsboro, New Hampshire, will be spending the night at St. John’s on July 8, 2009.  The 13 youth and 2 chaperones will be travelling from Texas back to New Hampshire. 

 

Jenny reported that Doris Dobbs approached her about a small book case in the library that is believed to belong to the BCE.  Lori volunteered to look into it.

 

Jenny will be on vacation from June 28, 2009, through July 3, 2009.  Additionally, Jenny will be having knee surgery on August 6, 2009.  Depending on the procedure, Jenny will be off from 3 days to 6 weeks. 

 

 

Sub-Committees

Sunday school/Teacher support – Sunday school will end on May 17, 2009, with no Sunday school on May 24, 2009.  An end of the year party will be held on May 17, 2009.  Jenny volunteered to plan the party. 

 

Throughout the summer, 2 services will take place.  No children’s activities will be helpd during the 1st service.  During the 2nd service, Jenny will take care of the children’s church.  She will put a volunteer sign-up sheet in the back of the sanctuary to assist. 

 

The Sunday school kick-off for the fall will occur on September 13, 2009. 

 

Nursery – Jenny indicated that Lynn seems to be doing well and the children enjoy her.  The background check results were received and no problems indicated.  

 

 

Old Business

Easter Egg Hunt – Over 130 children attended the Easter Egg Hunt.  Jenny provided a review of the registration card comments.  No negative comments were received.  Jenny also organized the registration cards into categories and solicited help in reaching out to those who express an interest in learning more about St. John’s. 

 

A review of the event suggested that having more prizes available than special prize tickets was helpful to allow children to select something that they liked.  Next year additional prizes for older children are needed.  The kites did not seem to be very successful.   

 

Due to the increased attendance, both the coloring room and pretzels ran out of supplies.  The fishing pond and fishing rods need to be redone for next year.  New tattoos will be needed.  Also a microphone would be helpful for making the announcements.  Next year, a coupon for a picture with the bunny would be helpful with additional pictures available for $1. 

 

Graduation Sunday – Jenny is planning Graduation Sunday for May 31, 2009.  Pastor Ross will honor the graduates during the 2nd service and Jenny will handle the reception after the service.  

 

Vacation Bible School (VBS) – VBS will be June 22, 2009, through June 26, 2009, from 6:00 to 8:15.  Dinner will not be provided.  Jennifer C. reviewed those who have volunteered and the need for additional volunteers.

The groups will be divided into the following (entering into that grade in the fall):  Pre-Kindergarten; Kindergarten and 1st grade; 2nd and 3rd grades; and 4th and 5th grades.  Each of the classes will have 1 – 2 adults and 1 – 2 youth with them to assist.  Jenny would like 4 volunteers as “floaters” to assist where needed during the week.  The older youth will be “shepherds” for the groups.  The middle school kids will help with the opening and closing sessions. 

 

The schedule will include rotations through snacks, lesson, recreation, and crafts.

 

A sign-up sheet will be put in the back of the sanctuary for volunteers.  Additionally a list of items to be donated will be posted by May 31, 2009.  Jenny requested that pre-registration occur if possible.  The tear-down for the decorations will occur after the 2nd service on June 28, 2009.

 

Nursery care will be provided during VBS. 

 

 Marcia and Further discussion about VBS will occur at the May BCE meeting.

 

Curriculum for fall -- The group discussed the proposed curriculum entitled “The Whole People of God” for the fall.  The curriculum is available on the internet and the cost is based upon the actual attendance of the church.  The group decided that it would like to use the curriculum.  Jenny indicated that she would like to have the fall Sunday school classes as follows:  Pre-kindergarten and Kindergarten; 1st and 2nd grades; 3rd through 5th grades (Kids 4 Christ); Junior High School; and Senior High School. 

 

 

New Business

 

Sunday School teacher appreciation – In recognition of their service for the past year, the 8 Sunday school teachers will be honored on May 17, 2009.  Their names will be listed in the bulletin and Jenny will get teacher gifts.  Additionally, due to his assistance with the youth, Adam Miner will be recognized.

 

Confirmation class – Pastor Ross briefly reviewed the format of past confirmation classes.  He will begin a class for the 7th and 8th graders in the fall. 

 

Adult Bible Study – Pastor Ross reviewed the adult Bible study that is happening on Mondays at 10:00 a.m. and repeated at 7:00 p.m.  Pastor Ross expressed his interest in developing more adult studies, workshops, and seminars.
